Managing bookings
View, confirm, move, and cancel appointments from your Bookings screen.
Bookings is your live appointment list — the screen you'll check most. Open it from Run the day → Bookings.
Reading the list
Each booking shows the customer, service, date and time, and a status:
- Requested — it has just come in and is waiting for you to accept it.
- Confirmed — you have accepted it, and the customer has been emailed to say so.
- Completed — the job has been done.
- No Show — the customer did not turn up.
- Cancelled — called off. A paid booking may show refund pending until you refund it.
The list is ordered by when each booking is due, so the next one you have to deal with is at the top. The tabs above the table filter it down to one status at a time.
If payments are on, you'll also see whether each booking is paid.
Everyday actions
Open a booking
Click the name at the start of a row to open that booking on its own: the customer and how to reach them, the service, when they are due in, and whether they have paid. On a garage or detailing business the vehicle condition log sits on the same screen.
Confirm or cancel
On a Requested row the blue button is Confirm. The small arrow beside it opens a menu with Cancel and Edit. The customer is emailed automatically either way, so you do not have to contact them yourself.
Move it to another time
Open the arrow menu and choose Edit. You can change the service, and the date and time. Leave Enter any time ticked to type any time you like, or untick it to pick only from slots you are genuinely free. Notify customer by email is ticked by default, so they are emailed the new details when you save, and the original slot reopens for others.
Complete
Once a booking is confirmed, the blue button becomes Complete. Press it when the job is done. It keeps your history accurate, and it is what starts the review request and the rebooking reminder.
Pressing Complete is what starts the follow-up. Review requests and rebooking reminders both key off completed visits.
Changing how bookings arrive
Whether new bookings need your approval or confirm on their own is up to you — see Auto-confirm vs. manual approval. To take a phone or walk-in booking yourself, see Creating a booking manually.
